Production Manager for 2021 Festival

Scope: Responsible for production management of all event sites and individual performance/activity sites used as part of the Now Northwich Festival including; performance spaces, family zone, catering, green room, library, VIP reception.

Reporting to: Director

Working with: Creative Director/Producer, General Manger, Freelance Creative and Producing Teams, Production staff, Contractors, Volunteers, Event staff Festival Partners, Visiting Companies, Now Northwich Steering Group, Cheshire West & Chester Council, Northwich Town Council, Safety Advisory Group

Responsible for: All production elements including staff (technical staff, stewards, volunteers, visiting companies, contractors where applicable)



Budget: To cost and budget for all elements of production and event management for the events as accurately as possible

To maintain, update, manage, report and adhere to the budget following financial procedures, ensuring full discussion of any requested alterations and that authorisation is sought and confirmed before amendments made or agreed to. To be accountable for production aspects of the budget in liaison with the Director and Producer.

To ensure best value of all goods and services secured on behalf of the Festival. To arrange technical equipment hires and services. To adhere to rigorous procurement procedures


Production Management

To realise the Festival events for which you are responsible within the agreed budget parameters, agreed timescale and available resources.

To seek options and solutions to support the Festivals ambition to reduce its carbon footprint.

To manage all events and activities that take place as part of the Now Northwich Festival

To produce comprehensive event management plans using existing template

To communicate with all necessary stakeholders and visiting companies to ensure the event management plan is comprehensive, fully understood by all parties and compliant with all relevant legislation and Safety Advisory Group guidance.

To confirm key sites within the Festival footprint with partners including; Cheshire Dance Producer and General Manager, Cheshire West & Chester Council, Northwich Town Council, Barons Quay and advise and liaise on infrastructure and technical requirements.

To advance plans with companies and artists to fully understand what resources the productions require, cost accordingly and arrange, through the use of companies technical specifications and method statements.

Liaise with visiting companies to ensure relevant Risk Assessments, insurance, and method statements are in place.

To liaise with the General Manger regarding confirmation of insurance arrangements for all companies, contractors or staff working at the Festival including Festival insurance

To employ, contract and manage production/event staff, security and first aid

To schedule and manage pre-production timelines and production schedules to maximise efficiency and minimise staff costs; also overseeing the recruitment and management of casual production crew for the Festival.

To delegate where necessary and to support and steer the Production team, Artist Liaison representative, volunteer manager, etc. as required.

To negotiate and get best value when working within the terms of national union agreements, in particular TMA BECTU, Equity & Musicians’ Union where relevant

To take responsibility for quality control and uphold extremely high production values throughout the Festival events for which the post is responsible.

To ensure that technical staff, event security, first aid staff, volunteers and visiting companies are appropriately trained and briefed.

To work in accordance with agents and site owners including Northwich Town Council, Cheshire West and Chester Council and Barons Quay

To support Festival branding and Look & Feel of the site including sourcing and installing Festival decoration.

To manage catering and other events sites in accordance with relevant licencing including water and electricity supplies and waste management.

To coordinate volunteer training and support volunteer manager to ensure all aspects of audience, artists and volunteer safety.

Set up and manage the Green Room for all event staff and participants.



To be available to support, advise and liaise with the Director, Creative Director/Producer, General Manger, Freelance Creative and Producing Teams, Production staff, Contractors, Volunteers, Event staff, Festival Partners, Visiting Companies, Now Northwich Steering Group, Cheshire West & Chester Council, Northwich Town Council and the Safety Advisory Group

To set up and lead Festival pre-production meetings and other meetings where necessary including site visits with festival organisers, key stakeholders, community participants, security, technical staff, first aid and volunteers.

To attend Steering Group meetings and to support, liaise and advise steering group members.

To work closely with the Festival Director and Programmer to support the programme planning including advising on technical matters and costs to support fundraising.

To support and contribute to the longer term Festival ambitions, optimising creative and production potential.


Health and Safety

To be responsible for collating risk assessments, technical specifications, method statements and insurance (and more detailed specific Health & Safety information where required) from visiting companies and act upon the information supplied where necessary.

To produce event-related Risk Assessments on behalf of the Steering Group and to liaise with all stakeholders on site specific Risk Assessments.

To ensure a comprehensive Covid Secure Risk Assessment is in place and Covid secure measures are adhered to throughout the Festival

To identify and source items and relevant PPE required, to ensure the festival is Covid secure utilising available budget designated for Covid

To produce, share and gather feedback from all relevant stakeholders on draft and final comprehensive event management plan that should include;

Event Overview, Contacts, Licensing, Public attendance and capacity figures
Safety Policy Statement, Appointed Persons
Legislative duties, Responsibilities of Contractors, Accident and near miss reporting and investigation, Materials, Personal Protective Equipment, Segregation, Risk Assessment, Compliance, Access and Egress, Fire Safety, Medical Plan, General Site Conditions, Venue – Special considerations, Smoking, Alcohol and drugs, Venue Facilities, Work at Height, Manual Handling, Lifting Operations, Ladders, Fatigue, Electricity, Equipment suspended at height, PPE and FFE, Waste Management

Risk Assessments

To attend Safety Advisoy Group Meetings with Festival partners.

To communicate with Festival partners on all issues relating to legislation, licensing, health & safety issues affecting the productions.

To apply for relevant licences.

To ensure all are safe for use by public, staff and artists including ensuring adequate staff levels are in place

To ensure at all times a safe working environment at all sites and compliance with Health & Safety and licensing regulations, including liaison with relevant authorities.

To leave the entire site in the condition in which it was found.



To contribute to FEU, visa, flight and accommodation booking spreadsheets and ensure that the most up to date information possible is available for the management event timelines.

To contribute to the contracting process as necessary.

To contribute to the Communication and Marketing proofing process as necessary.

Support and contribute to the event evaluation process.

Any other duties required commensurate with the scope of the engagement. Duties could extend to stage managing events if necessary and will include producing skills from time to time.


Essential Criteria

Industry experience, within a similar role, within outdoor events of festivals environment

Must have own Public Liability Insurance

Experience of professional outdoor staging/electrics/sound/lighting communications and audio visual techniques.
Proven ability to co-ordinate production aspects of a wide range of live events effectively

Proven ability to deliver a high level of customer service to both internal and external customers and the ability to inspire confidence amongst stakeholders.

Experience of budget management and creation, and an understanding of issues relating to financial planning and control

Can evidence strong time management skills and the ability to meet deadlines

Excellent all round communication skills with good literary, numeracy, organisational and office skills.

Significant knowledge of Health and Safety and Licensing Regulations.

Self-motivated, with an enthusiastic and flexible approach to their work

Ability to draw, read and interpret CAD drawings

Work Schedule:

Pre Festival - Flexible time management to ensure effective planning and requirements to meet all deadlines

Now Northwich Festival 2nd October 2021

You will be required to ensure a flexible approach to your working, including the ability to work unsocial hours.

Post Festival – Completing de-briefs, sign offs and evaluation including recommendations for future events



Phase 1 - Pre-Production Planning and Covid Secure Festival Planning to start June 21
Approx. £4k fee plus budget available for purchasing covid secure requirements
